How to Edit a PDF for Free: Five Practical Options

Start by identifying the kind of edit

Editing a PDF can mean replacing a sentence, filling a form, adding a comment, or rearranging pages. Those are different operations. A tool that draws a text box over a page may be useful for an application form but unsuitable for correcting the original wording. Before installing anything, try selecting a sentence. If the whole page behaves like one image, you probably need optical character recognition before you can work with its words.

Whenever possible, edit the original document and export another PDF. That preserves paragraph flow, headings, and layout more reliably than reconstructing a finished page. If the source is unavailable, keep an untouched copy and choose the smallest intervention that solves the problem. The recommendations below are based on published product documentation, not claimed hands-on testing.

    Compare five free routes

    ToolGood starting useImportant constraint
LibreOffice DrawSmall corrections in straightforward PDFsImported layout and font substitution need checking
PDF24Annotations and page operationsCreator is Windows-only; do not confuse overlays with original-text editing
SejdaOccasional existing-text changesFree usage has task and document limits
PDFgearDesktop text editing and document utilitiesFeatures differ between desktop, mobile, and web
ONLYOFFICEPDF text and page editing in an office workflowEdition, version, and access permissions matter

Official documentation supporting these distinctions is collected in Sources. An internet-based interface is not automatically the same product as an offline application, even when they share a brand.

LibreOffice Draw: useful for isolated corrections

Open a copy of the PDF in Draw, select the relevant text object, and make a short correction. Export the result as PDF rather than treating the original PDF as a normal word-processing document. Draw belongs to LibreOffice's free office suite; its object-oriented approach is most manageable when the page contains relatively simple text and graphics. See the suite's official overview.

Expect some paragraphs to arrive as multiple objects. Adding a long sentence may require moving adjacent objects manually, and unavailable fonts can change line lengths. Do not choose this route for a large rewrite of a dense report. Inspect every affected page, including footers and captions, because the visible text you changed is not the only element that may move during import.

PDF24: organize and annotate without overselling editing

PDF24 Creator provides local PDF utilities on Windows, including page assembly, splitting, compression, and OCR. This makes it a sensible choice when “editing” really means adding information or organizing a document. The vendor explicitly distinguishes its offline Windows application from its online tools. See PDF24 Creator.

Do not assume a white rectangle and replacement text actually remove the old content. That is an overlay, not secure redaction. For sensitive information, use a documented redaction process and verify the result, or return to the source document. On macOS or Linux, the Windows Creator application is not a native option; using a website introduces a different privacy and connectivity decision.

Sejda: convenient for occasional text replacement

Sejda's editor documents changing existing text, adding images, links, and form fields. Select the Text tool, click an existing text area, and make a modest correction. Its web service uploads files, while Sejda Desktop offers a local-processing route. These are distinct choices, as the editor instructions explain.

The free service is constrained by task frequency and document size or page limits; confirm the editor's displayed allowance before starting. Do not borrow a limit from another Sejda utility, since tool-specific restrictions can differ. Font availability remains important, and a successful edit is not evidence that complex formatting elsewhere survived unchanged. For repeated production work, a limited free tier may become operationally inconvenient.

    PDFgear: check the exact platform

PDFgear's documentation distinguishes its browser editor from desktop software. The web editor supports added content and page organization, while the desktop route is presented for changing existing PDF text. Start from the official feature comparison rather than assuming every download has identical capabilities.

The cited web editor states that processing happens locally in the browser. That statement should not be extended to unrelated AI features or every service from the same vendor. For confidential work, check the specific feature's data handling, disable optional connected services where appropriate, and follow your organization's policy. After a desktop edit, save a new file and reopen it in another viewer.

ONLYOFFICE: useful inside an office-document workflow

ONLYOFFICE documents an Edit PDF mode with text-area recognition and page management. Open the file, switch from viewing to editing if necessary, and use Edit Text to identify editable regions. The official editing guide also notes that editing requires corresponding rights.

Check that your installed edition and version include the documented functionality. A hosted workspace, a desktop application, and a server deployment can have different access and administration arrangements. Recognizing PDF text boxes is not the same promise as OCR for an image-only scan. If nothing editable appears, investigate whether the page is a scan rather than repeatedly clicking the picture.

    A reliable editing workflow

    1. Duplicate the original and record which pages need changes.
    2. Determine whether you need original-text editing, annotations, OCR, or page organization.
    3. Try one representative page before processing a long document.
    4. Use available fonts and keep replacement wording close to the original length.
    5. Save under a new filename and reopen the output independently.
    6. Check search, copying, hyperlinks, page order, and any form fields that matter.
    7. Compare the changed pages visually with the original, then inspect adjacent pages.

    Limitations worth taking seriously

Any rewrite can affect digital signatures, accessibility tags, or specialized form behavior. Keep signed originals intact and ask the recipient whether a revised, unsigned document is acceptable. Password restrictions should be handled through the document owner, not treated as an invitation to bypass access controls. When the required correction expands into a redesign, rebuilding from an editable source is usually more efficient.
